Meeting & Events Coordinator (m/f/d)



Deine Aufgaben:

As Meeting & Events Coordinator you will be part of our Meeting & Events team. Within this role you assist the Event Managers, carry out diverse administrative tasks and support sales initiatives. The Meeting & Events Office is located within the hotel and your team counts 8 enthusiastic team players!

  • Answers sales phone lines in a timely manner and takes messages, handles customer requests and forwards leads/inquiries to the appropriate salesperson immediately.
  • Assisting event managers in the execution of all aspects of events to include planning, day to day coordination
  • Carry out daily administrative / reporting tasks and special projects as assigned by the Director of Meetings & Events
  • Develop and maintain contact with key decision makers, key influencers, meeting planners, professional conference and event organizers, associations and other producers closely aligned to each business unit.
  • Support sales initiatives with site inspections, client entertainment, familiarizations, and other events that form part of the sales and marketing plan.
  • Handles walk-ins and in-house customer requests, as needed
    Prepare site alerts and communicate with the internal departments on the details of the visit
  • Assists with making reservations and placing amenity orders for VIP client check in's and arranging welcome gifts for catering site tours. Hand written card may need to be completed and included with amenity or gifts
  • Distributes Weekly BEO packet and pop up/ revised BEO's and other appropriate weekly communications to operations team
  • Coordinates menu arrangements for conference clients that maximize the revenue potential for the hotel, while serving the needs of the client
  • Maintains orderly office inclusive of the filing system
  • Maintains flexible hours to accommodate the customers' needs and may be required to work varying schedules to reflect the business needs of the hotel

Dein Profil:

  • Bachelor’s degree in hotel management or equivalent degree in hospitality or event management.
  • Proactive approach to conversion, developing and maintaining strong relations with clients and stakeholders.
  • Strategic and tactical thinker - establish goals and objectives, set performance targets and deliver projects on time.
  • Strong presentation, commercial and communication skills. 
  • Mature with positive thinking and guest oriented
  • Well-versed in both written and spoken Dutch & English
  • Flexible work approach.
